We are seeking our next Project Support Specialist to join our team in Morris, IL!
As a Project Support Specialist, you will coordinate and manage installation projects across all trades, including HVAC, electrical, plumbing, and generators. This role oversees scheduling, permitting, utility coordination, inspections, and customer communications from project initiation to completion. The Project Support Specialist handles Customer Service Representative (CSR) overflow calls, reschedules canceled installations, and answers customer questions regarding warranty length.

As a Project Support Specialist, you will coordinate and manage installation projects across all trades, including HVAC, electrical, plumbing, and generators. This role oversees scheduling, permitting, utility coordination, inspections, and customer communications from project initiation to completion. The Project Support Specialist handles Customer Service Representative (CSR) overflow calls, reschedules canceled installations, and answers customer questions regarding warranty length.
Essential Duties and Responsibilities:
- Receive project tasks, assign to the appropriate specialist, and create jobs in ServiceTitan, ensuring materials are allocated and equipment needs noted.
- Send Welcome and project update emails, and maintain proactive communication with customers regarding tentative and confirmed installation dates.
- Complete permit applications, request checks for fees, and track approvals.
- Identify municipalities, verify inspection requirements, and schedule inspections based on permit and utility timelines.
- Coordinate utility disconnects and underground locates as required, gathering all property and project details.
- Collect required documentation (plat of survey, spec sheets, GIS maps) and request certificates of insurance.
- Assist installers with equipment registration and activation, schedule return visits, and set up memberships or recurring maintenance notifications.
- Handle CSR overflow calls, reschedule canceled installations, and respond to customer questions regarding warranty length.
- Ensure all communications are accurate, with salespeople CC’d on relevant emails, and maintain job status updates in ServiceTitan.
- Perform other duties as assigned related to Support Services or project support.
Expectations:
- Maintain accurate ServiceTitan updates and project timelines.
- Confirm permits, inspections, utilities, and documentation are completed before installations.
- Communicate proactively with customers and installers regarding changes or delays.
- Follow protocol for customer communications, including tentative notifications, confirmations, day-before reminders, and completion emails.
Minimum Education and Certification Requirements:
- High school diploma or equivalent.
Minimum Experience Requirements:
- Previous experience in project support, scheduling, or coordination, preferably within HVAC, electrical, plumbing, or construction industries.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Proficiency with ServiceTitan or similar project management software.
- Ability to work effectively under pressure in a fast-paced environment.
- Positive, team-oriented attitude with a commitment to exceptional customer service.
Computer Skills:
PC proficiency required, with experience in Microsoft Office applications including Word, Excel, and Outlook.
Reasoning Ability:
Ability to solve practical problems, interpret instructions, and manage multiple variables.
Mathematical Skills:
Ability to add, subtract, multiply, and divide using whole numbers, fractions, and decimals.
Language Skills:
Excellent written, verbal, and interpersonal communication. Ability to write reports and business correspondence clearly and professionally.
Physical Demands:
Regularly required to talk or hear. Frequently sit, stand, walk, and use both hands simultaneously. Occasionally lift and/or move up to 10 pounds. Close vision and focus adjustment required.
Work Environment:

Compensation: $20.00 - $22.00 per hour
